Here are a few of our most commonly asked troubleshooting questions.

I need to print on heavier paper, like cardstock. I know my machine is rated for this heavier weight. But, the toner likes to flake off the page. How can I stop that from happening?

When you use heavier paper, you need to change the paper tray settings both on your machine and on your computer within your printer driver.  Look on the paper ream wrapping to note the weight of the paper. Then, check your user manual to find out which setting to choose. (Many heavier papers work well with the setting “Thick 3”).

On the front of the user control panel, look for the Paper section. Press the button for the paper tray in which you put the heavier paper, and press the button for changing the tray settings. Pick the setting you want to use.

Back at your computer, open the application you are using to create the file, and open file that you want to print. Click on File/Print and select your printer. Click on the button for “printer properties,” then look for the drop-down list first to pick the paper drawing you’re using, then for “paper type.” Change the paper type to match what you picked at the machine’s user control panel.

It seems like I always have paper jams first thing Monday morning. What can I do to prevent them?

Paper is sensitive to environmental conditions. If your office’s air conditioning is turned down low or off over a weekend and the building gets a little humid, the paper could absorb some of that moisture.

Open each of the paper trays and remove the paper. Hold the stack with one hand, and use your other thumb to “fan” the stack of paper. That little trick fluffs the stack and helps reduce the pages from sticking together.

It also helps to store unused paper flat instead of on its edge. And, be sure to use paper that is rated for your machine. Do not use paper for “inkjet printers” in multifunction copiers and laser printers. Keep paper wrapped until you load it into the machine and don't load paper that is lumpy, wavy or bumpy. Be sure to use high quality paper. Bargain paper is less expensive at the front end, but ends up costing more in the long run.

There is an error code showing up on my machine’s display. What should I do?

Locate your copier’s main power switch. It looks like a light switch with a circle on one side, a straight line on the other. It may be on the lower left side of your copier down towards the floor; it also may be on the front of your machine behind a door. (This is not the same switch as the one on the user control panel.) 

Press the switch on the circle side to turn the power off. Leave this switch off for approximately 20-30 seconds.

Press the switch on the straight line side to turn the power back on. Allow your machine to reboot and warm up. Either your error message will reappear or it will change to a "ready" state. If the error message reappears, please write down the code and call us for service. 

I have an error message that reads: printer board failure, what should I do?

This error normally occurs after a storm because of power outages. Locate your copier’s main power switch. It looks like a light switch with a circle on one side, a straight line on the other. It may be on the lower left side of your copier down towards the floor; it also may be on the front of your machine behind a door. (This is not the same switch as the one on the user control panel.) 

Press the switch on the circle side to turn the power off. Leave this switch off for approximately 20-30 seconds.

Press the switch on the straight line side to turn the power back on. The machine will reboot, and within 8-10 seconds your display should come back on and either read "ready to copy" or "printer board failure.”

If you received the error message again, you will need to call us for service. If it reads "ready to copy" you can start to use the copier portion right away. If your computers are connected to this device let your office staff members know to not send it a print job for about 10 minutes. This will allow the machine to reboot and function properly.

How do I get rid of the black lines on my copies?

(This happens only when I run copies through the top document feeder. This does not occur if I lift the cover and copy directly from the glass.)

Lift the top cover, look to the left of the large platen glass and you will see a long thin piece of glass next to top edge. This glass may look clean to the naked eye but it actually has some dust or dirt on it, and that’s what’s showing up as black lines on your copies.

You will need to clean it to eliminate the lines. First use your fingernail to scrape "lightly" along the glass surface, then take an alcohol wipe (if you don't have one you may use Windex) and clean the entire surface. It is very important to clean the glass with a solution vs. just wiping it with a dry cloth. Try not to use Windex on a regular basis; this will cause static build-up and jams may occur. Alcohol wipes are the best product.

I thought I had cleared my paper jam, but the message on the control panel won't clear. What do I do?

You probably didn't get all the jammed paper out. Make sure you check all the paper sources, including all paper drawers and the bypass tray. Chances are you'll find some paper that was caught, wrinkled up, curled, folded under or otherwise not in position to pass through smoothly. Be sure to check that the guides in your paper trays are snug against the edges of the paper.
